Cloud accounting for service and trading businesses

Xero set-up and support

Cloud-first accounting software with strong bank reconciliation, a large add-on marketplace and a clean user experience.

Our relationship with this platform: Independent implementation and support. We are not an authorised reseller and do not hold a vendor certification unless stated otherwise in writing.

Who this platform suits

Good fit

  • Service businesses and agencies that need clean invoicing, time-based billing support and reliable reporting.
  • Small and medium businesses that want a modern cloud platform with minimal administration.
  • Businesses with multiple users across locations who need concurrent cloud access.
  • Organisations that want to build a stack of connected applications around a central ledger.

Poor fit — be honest about this before committing

  • Manufacturers requiring bills of materials and production costing.
  • Businesses needing multi-warehouse, batch or serial stock control.
  • Groups requiring multi-entity consolidation and inter-company control.
  • Businesses in markets where localisation or bank feed availability is limited — confirmed during scoping.

Capabilities

Core accounting

Double-entry ledger, chart of accounts, tracking categories for departmental or project analysis, manual journals and period lock dates.

Invoicing and quotes

Quotes, invoices, recurring invoices, payment reminders, credit notes and online payment collection.

Bills and purchases

Supplier records, bill entry, batch payments and purchase order handling through the platform or connected apps.

Bank reconciliation

Bank feeds where available, matching rules, reconciliation and cash coding — one of the platform's strongest areas.

Inventory

Tracked inventory for straightforward item-based businesses. Not a warehouse or manufacturing system.

Multi-currency

Multi-currency transactions with revaluation, useful for businesses trading across borders.

Reporting

Profit and loss, balance sheet, cash summary, aged receivables and payables, budget comparison and custom reports.

Add-on marketplace

A large connected-app ecosystem covering expenses, point of sale, inventory, payroll, time tracking, approvals and reporting.

Deployment considerations

Xero is a cloud subscription service, so there is no server and no local installation. Data is held by the vendor, and access is managed through user permissions. Two practical points for Nigerian businesses: bank feed availability varies by bank and market, and payroll functionality is market-specific, so Nigerian statutory payroll is normally handled by a dedicated process or provider with the journal posted into the ledger. We confirm both during scoping rather than assuming.

What implementation covers

  1. Assessment of fit, including whether a different platform would serve the business better.
  2. Organisation set-up, tax settings and financial year configuration.
  3. Chart of accounts design with tracking categories for branch, project or department analysis.
  4. User set-up with role-based access and an approval framework.
  5. Product and service catalogue set-up with correct accounts and tax treatment.
  6. Opening balances for bank, receivables, payables and stock, reconciled and documented.
  7. Migration from the previous system or from spreadsheets, cleansed and de-duplicated.
  8. Bank account configuration, feed set-up where available, and reconciliation rules.
  9. Add-on selection and configuration, limited to what is genuinely needed.
  10. Invoicing templates, payment terms and reminder configuration.
  11. Report and dashboard set-up for the monthly pack.
  12. Role-based training, written procedures and support through the first two month-ends.

Reporting and integration

Standard reports cover the core financial statements with filtering, budget comparison and tracking-category analysis. Where management reporting needs go further, connected reporting apps or a defined export routine are the practical route, and we configure whichever suits the business. Integration is a genuine strength of the platform through its marketplace and API, though every additional app adds a subscription cost and a control consideration, so we keep the stack as small as it can be.

Training and support

Training is delivered by role and based on the client's actual transactions. We also cover the disciplines that make the platform work — reconciliation frequency, period locking and approval routines — because the software cannot enforce them. Written procedures are provided and support continues through the first month-ends.

Limitations and dependencies

Every platform has boundaries. Knowing them before you commit is cheaper than discovering them after.

  • It is accounting software, not an ERP. Manufacturing, multi-warehouse stock and complex project costing are outside its design.
  • Bank feed availability depends on the bank and market; manual statement import may be required for some accounts.
  • Nigerian statutory payroll is not natively handled and requires a separate process or provider.
  • The add-on ecosystem is powerful but each app adds cost, a vendor relationship and a data-flow consideration.
  • Consolidation across multiple entities requires additional tooling or a different platform.

Frequently asked questions

Is Xero available and supported for businesses in Nigeria?

The platform is used by businesses in many markets, but availability of specific features — particularly bank feeds and payroll — varies. We confirm what is actually available to your business and your banks before recommending it, rather than assuming a feature list applies.

Can you migrate us from QuickBooks or Sage to Xero?

Yes. We extract and clean the data, design the chart of accounts and tracking structure, agree and reconcile opening balances, and support the cut-over. We usually migrate opening balances plus the current year and retain the old system read-only.

How do we handle Nigerian payroll?

Through a dedicated payroll process or provider, with the journal posted into the ledger and reconciled. This keeps statutory compliance reliable while the ledger stays clean.

Who do we pay for the subscription?

The vendor directly. We do not mark up subscriptions and we do not require you to subscribe through us.

Which add-ons should we use?

Only the ones that solve a specific problem. Every app adds cost and a data flow to control. We recommend the minimum viable stack and revisit it as the business grows.

When would you recommend against Xero?

When the business needs manufacturing, multi-warehouse stock control, complex project costing or multi-entity consolidation. In those cases an ERP such as ZhiftERP is normally the better route, and we will say so.

Want a second opinion before you commit?

We are independent of the vendors. We will tell you if this platform is right for you, and we will tell you if it is not.
